Aufgaben

The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of our human resource department. This includes tasks like focusing on managing TeleDoc’s doctors on duty, implementing processes and onboarding new doctors, who work on schedule. Additionally, the role will include pre-scheduled standby times on weekends and evenings resulting in flexible working times during the week. Fluent English and German is a must for this role.

The main Responsibilities include but are not limited to:

  • Maintaining accurate and up-to-date human resource files, records, and documentation
  • Answering frequently asked questions from doctor applicants and employees relative to standard policies, benefits, hiring processes, etc.; forwarding more complex questions to appropriate senior-level HR staff or management
  • Maintaining the integrity and confidentiality of human resource files and records
  • Performing periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately
  • Providing clerical support to the HR department regarding day to day activities
  • Conducting or assisting recruitment and onboarding with new doctors
  • Helping with day-to-day doctor support activities
  • Assisting with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties
  • Actively manage and take responsibility regarding doctor scheduling as well as making sure that all booked doctor visits are assigned to an available doctor
  • Monitoring and assisting doctors during standby time
  • Assigning non-assigned digital visits to available doctors during standby time
  • Performs other duties as assigned

Qualifikation

  • Excellent verbal and written communication skills in English AND German
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
  • Excellent organizational skills and attention to detail
  • Proficient with Microsoft Office Suite or related software
  • Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications (HubSpot, Internal Admin Tools...)
